Microsoft Office 365 was first available to customers in June 2011. It has come a long way since! Microsoft 365 includes a multitude of amazing features. In all honesty, this is not a sponsored article! It was written from the sheer belief that this solution is an all-encompassing business platform!
Many businesses fear change. They are used to having everything working the way it has always worked! Some businesses have on-premise email servers, others have their emails hosted with 3rd party hosting solutions and some businesses use the normal generic Yahoo, Hotmail, Shaw or Telus emails.
It’s a good idea to understand the services available to businesses! Yours included! On a daily basis, you and your team send out tens and maybe hundreds of emails each day. Some email providers have small per-mailbox storage making it difficult to retain emails without relying on Email Archiving. That adds another layer of complexity – backing up those files will add to your backup storage costs. Accessing the archive files on a network share may corrupt the file. Enter Microsoft 365’s 50GB+ mailboxes!
From our years of experience in Office 365, we thought we would list the most important features your business may benefit from.
1. 50GB+ storage per mailbox: emails, emails, and emails! Every day, every hour and almost every minute! You receive many emails, from vendors, clients, and prospects. I personally file all related emails under a client’s or vendor’s Outlook folder record keeping. When you have 50GB+ of storage space, you don’t have to worry about running out of space any time soon!
2. Microsoft 365 Security: many 3rd party email hosting providers do not provide their clients with access to the back end. That hinders a business owner’s or IT admin’s ability to secure their emails. With Office 365 you can customize the security policies to reduce Malware, SPAM and Anti-Phishing emails which in many cases carry an infected attachment or link.
3. Microsoft Teams: this collaboration platform was introduced in 2017. It has many of the features of our beloved (soon to be retired) friend Skype has. It’s an amazing and ever-evolving platform. You can use it as your phone system as well!
4. SharePoint Online and OneDrive: moving to the cloud is a trend. Most times it’s a very good solution for your business. Microsoft 365 offers SharePoint Online with OneDrive integration.
5. Data residency: our emails contain private information about us, our businesses and much more. Some sectors require data to be stored on Canadian soil. Microsoft 365 allows you to select Canada as the data-center region.
I can go on and on about Microsoft 365 but the fact is, it’s an amazing solution. It can serve multiple purposes to have a single all-in solution.
